Effective date: to be set on publication
JDQ Systems Inc. ("JDQ", "we", "us") respects your privacy. This policy explains how we collect, use, share and protect personal information through our public website and our contact and assessment request form. We follow British Columbia's Personal Information Protection Act (PIPA) and, where it applies, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
1. Accountability
JDQ is responsible for the personal information under its control. Our Privacy Officer is accountable for this policy and for answering questions and complaints. Contact details are in Section 12.
"Personal information" means information about an identifiable individual. It does not include business contact information, such as your name, title, business email and business phone number, when we use it only to contact you about your work.
2. What we collect
Information you give us
- Contact and assessment requests: your name, company, work email, phone number (optional), type of organization, the service you are interested in, and your message.
Please do not include sensitive personal information, such as health or financial details, in messages you send through the website.
Information collected automatically
Like most websites, our web host's servers automatically keep standard technical logs of each visit: your IP address, browser and device type, the pages requested, the date and time, and the site that referred you. We use these logs only to keep the website secure and working properly, and to investigate misuse. They are kept for a limited period set by our web host and then deleted. We do not use analytics or tracking tools, and we do not try to identify individual visitors from these logs.
Cookies and similar technologies
The website does not use cookies for analytics, advertising or tracking. If you use the light/dark display switch, your browser remembers your choice in its own storage on your device. That setting is not sent to us, does not identify you, and can be cleared at any time in your browser settings. Because the website uses no non-essential cookies, it does not show a cookie banner. Our fonts and other site files are served from our own web host, so your visit is not shared with outside content or font services. If we ever add analytics or other non-essential cookies, we will update this policy first and ask for your consent where the law requires it.
3. Why we collect it
We collect and use personal information only to:
- respond to your inquiries and assessment requests;
- plan and deliver services you engage us for;
- keep our website secure and working properly; and
- meet our legal obligations.
We do not sell or rent personal information.
4. Consent
When you submit our form, you consent to our using the information for the purposes in Section 3. You may withdraw your consent at any time by contacting our Privacy Officer, subject to legal or contractual limits. If you do, we may not be able to respond to your request or provide a service.
5. How we use artificial intelligence
JDQ uses AI tools in its own work, and we hold ourselves to the same standards we recommend to clients. We may use AI tools to help sort inquiries and draft replies. When we do:
- a person at JDQ reviews every reply before it is sent;
- confidential client information is processed only on JDQ's own private AI server, located in Canada;
- for general, non-confidential AI chats and software development, we use business AI services whose terms do not allow your information to be used to train their models;
- we do not use AI to make decisions about you that have legal or similarly significant effects; and
- we do not enter your information into consumer AI tools that keep it for their own purposes.
If you have questions about our use of AI, contact our Privacy Officer.
6. Sharing information
We do not share your personal information with anyone outside JDQ except:
- employees, subcontractors and service providers (such as website hosting, email, form handling and AI services) who need it to do work for us, and who are required to protect it; and
- when we are required to by law, for example under a search warrant, subpoena, court order or other legal process.
7. Where information is stored
Our website, our email and JDQ's own AI server process and store information in Canada. The business AI services we use for general, non-confidential work (see Section 5) may process information outside Canada, for example in the United States. While it is there, it may be accessible to authorities under the laws of that country. We never send inquiries from our contact form, or any confidential client information, to those services.
8. How long we keep it
We keep personal information only as long as we need it for the purposes in Section 3, or as the law requires. Inquiry records are kept for two years after our last contact. After that, we delete or securely destroy it.
9. Safeguards
We protect personal information with reasonable administrative, physical and technical safeguards, including encrypted connections to our website, access limited to people who need it, and secure service providers. If a privacy breach occurs, we will notify affected individuals and regulators where the law requires.
10. Access and correction
You may ask to see the personal information we hold about you, and ask us to correct it. Send your request in writing to our Privacy Officer. We will respond within 30 business days, as PIPA requires.
11. Changes to this policy
We may update this policy from time to time. We will post the updated version on this page with a new effective date, and highlight significant changes on our website.
